This Privacy Policy explains how Toolsobiz collects, uses, stores and protects information when businesses and their authorized users use the Toolsobiz website, managed platform, customer portal, support services and related services.

Information we process

Depending on the features a business enables, Toolsobiz may process business contact information, user account information, customer and tenant records, employee and payroll records, invoices, receipts, bookings, orders, property and unit information, accounting records, uploaded documents, communications, device/session information and service logs.

Signup, billing and provisioning records

When a customer requests a trial, subscription, Self-Hosted license or other service, Toolsobiz may process the business name, owner and contact details, country and city, questionnaire responses, selected plan and Toolsets, requested workspace or subdomain, billing option, payment-provider identifiers, transaction or checkout status, provisioning status, support history and related audit records.

Toolsobiz may retain records of completed, canceled, unsuccessful or archived signup attempts where reasonably necessary for payment reconciliation, fraud and abuse prevention, audit history, customer support, dispute resolution, accounting or legal obligations. An archived signup attempt is not necessarily an active subscription or active business workspace.

Customer-controlled business data

Businesses using Toolsobiz determine what operational information they enter into the platform and are responsible for having appropriate authority to collect and use that information. Toolsobiz processes that information to provide, secure, maintain and support the service.

Payments

Payments for Toolsobiz subscriptions, licenses or services may be processed through supported third-party payment providers. Businesses using Toolsobiz may also connect supported payment providers for transactions with their own customers. Toolsobiz may receive and retain transaction identifiers, customer or subscription identifiers, payment status, amount, currency, fees and other billing metadata needed to administer the applicable service and maintain business records.

Raw card details entered into a third-party hosted payment experience are handled by the applicable payment provider under that provider's terms and privacy practices.

How information is used

Information may be used to provide and personalize the platform, authenticate users, process business workflows, deliver customer-portal functions, maintain records, provide support, improve reliability, prevent misuse, communicate service information and comply with applicable legal obligations.

Service providers and integrations

Toolsobiz may use hosting, email, authentication, payment, banking, backup, analytics or other service providers where needed to deliver requested features. Information is shared only as reasonably necessary for the applicable service or integration.

Security and retention

Toolsobiz uses reasonable administrative and technical safeguards designed to protect information. No online system can guarantee absolute security. Information may be retained for as long as reasonably necessary to provide the service, maintain legitimate business, payment, accounting, security and audit records, resolve disputes, enforce agreements or meet legal requirements. Ending a trial, canceling a subscription or closing a workspace does not necessarily result in immediate deletion of every record. Limited billing, transaction, security, support, audit and legal records may be retained where reasonably necessary or required. Customers remain responsible for their own retention obligations and for exports or backups required by their policies.

Access and choices

Account owners and authorized administrators can manage much of their business data through Toolsobiz. Requests concerning access, correction or deletion should be directed to the business that controls the relevant customer or employee record, or to Toolsobiz through the contact method published on our website when Toolsobiz is the appropriate party to handle the request.

International use

Toolsobiz may be used by businesses in different countries. Available features, integrations and data-handling requirements can vary by location. Each business is responsible for determining the legal and regulatory requirements that apply to its own operations and users.

Changes

We may update this policy as the platform, providers or legal requirements change. The effective date above identifies the current version.
